Refunds & Cancellation Policy for Machine Hire

At Grounds, Gardens & Trees Ltd, we are dedicated to providing a smooth and reliable machine hire experience. This policy explains how we handle refunds and cancellations under UK law.

1. Cancelling a Machine Hire Agreement

  • 14-Day Cancellation Right: You have the right to cancel your machine hire booking within 14 days of making it, provided the hire period hasn’t begun. The UK Consumer Contracts Regulations protect this right.
  • How to Cancel: To cancel your booking, simply send us an email at [insert email] or visit our contact page. Be sure to include your booking reference and the details of your hire to help us process your request efficiently.
  • Refund for Cancellations: If you cancel before the hire period starts or before we deliver the machine, we will provide a full refund. However, if the hire has already begun or the machine has been delivered, we will adjust the refund to account for any usage and associated costs, such as delivery or collection.
  • Refunds for Early Equipment Returns If you return a machine before the hire period ends, we will assess whether a partial refund applies. We will calculate the refund based on how much of the hire period remains. However, the final decision rests with us.

2. Faulty or Damaged Equipment

  • Faulty Equipment: If the machine isn’t working properly, contact us immediately. We will promptly inspect the issue and, if necessary, either replace the equipment or refund you for the unused hire time.
  • Damage During Hire: If the machine sustains damage while in your care, you are responsible for the repair costs. In this case, we may either deduct the repair costs from your refund or bill you separately.

3. When You Can’t Cancel

You won’t be able to cancel your hire or receive a refund if:

  • The hire period has already started, and you’ve used the machine.
  • We have delivered the machine and it’s been used, even for a short time.

4. How We Process Refunds

We will refund your original payment method within 14 days of confirming the cancellation. If you paid by card, please allow 5-7 working days for the refund to reach your account.
